Overview

Shive-Hattery’s Quad Cities (Bettendorf IA) office has an immediate opportunity for an experienced Office Manager passionate about fostering a positive workplace, supporting our office operations and leading the day-to-day administration duties in an Architecture and Engineering Consulting environment. 

You will collaborate with a diverse and talented team of professionals who deliver purposeful work for our clients. Your administrative expertise combined with initiative, judgment, and attention to detail will contribute to the success of the Quad Cities office and our company-wide goals. 

Perform procedures for office activities such as documentation and filing, communication services, purchasing, facilities maintenance, and other support services in part or in whole

  • Manage and maintain office assets
  • Coordinate administrative aspects to ensure the office is working efficiently
  • Coach, mentor,  and supervise administrative support positions
  • Manage a variety of administrative tasks and respond to professional staff inquiries, while productively reacting to shifting priorities 
  • Coordinate office maintenance and activities, ordering supplies, organizing office files, storage, breakroom and conference rooms  
  • Onboard new  employees to Shive-Hattery processes
  • Establish and nurture an office culture that aligns with Shive-Hattery principles, values and purpose
  • Liaison with Corporate office departments (Project Accountants, IT, HR, etc.), business unit directors, market sector, and group/studio leaders
  • Manage essential tasks and perform other administrative duties as may be requested

Requirements

  • Education: Bachelor degree preferred, but not required
  • Experience: Generally, requires a minimum of 3 years supervisory experience or related experience
  • Proficiency with Microsoft Suite programs a must
  • Familiarity with Vantagepoint, Newforma, Adobe InDesign, and Photoshop is preferred
  • Supervisory and training experience is preferred
  • Self-motivated, detail oriented and high energy individual
  • Responsible for supervising office administrative  activities to achieve maximum expense control and productivity
  • Follow company practices and procedures while providing independent judgment, practicality, and analyzation to resolve ambiguity and issues
  • Work with minimal supervision, manage multiple priorities and deadlines, provide attention to detail, exercise discretion, and show servant leadership in an environment of change are necessary
  • Strong interpersonal and written communication skills a must
