Overview

Shive-Hattery’s Cedar Rapids, IA office has an immediate opportunity for a Project Coordinator. We are looking for a motivated individual who shares our passion for delivering an exceptional client experience and wants the opportunity for professional growth in an architecture and engineering consulting environment.

You will collaborate with and support the project manager, project team, and the client through the life of the project. Your administrative expertise combined with initiative, judgment, responsiveness, and attention to detail will contribute to the success of projects. 

Requirements: 

  • Bachelor’s in business administration or degree related to the architecture/engineering /construction field
  • Experience providing administrative services in A/E consulting is a plus
  • Knowledge of the construction industry is preferred
  • Places a high focus on assisting the client, both internal and external
  • Exhibits a willingness to help and a can-do attitude
  • Proficient in using the Microsoft Office software family (Excel, Word, OneNote, Teams, Project)
  • Experience with Newforma, BSD Speclink, and Deltek Vantagepoint software a plus 
  • Able to work independently and manage own time and duties effectively
  • Able and willing to assist with many different administrative roles and responsibilities
  • Willing to innovate and continuously improve processes
  • Highly organized with an attention to detail
  • Good listener and communicator 
  • Experience with the use of virtual tools to proactively coordinate and communicate virtually
  • Willingness to teach others 
  • Must be adaptive to change and willing to shift tasks daily due to project schedules, customer requests/needs, and internal team needs

Requirements

Responsibilities:

  • Work closely with the project manager and project team to do a variety of tasks such as:
  • Open and set up projects in Deltek Vantagepoint
  • Prepare meeting minutes and project updates
  • Prepare project manuals and specifications
  • Ensure deliverables are meeting schedules and deadlines
  • Prepare bidding and construction administration documents
  • Perform quality/grammar checks on reports and correspondence
  • Coordinate the bidding and construction administration process of a project to assist the team, client, and contractor in keeping with project schedule 
  • Track and file construction documentation such as submittals and deliverables using Newforma
